Thank-Yous That Keep Donors

Retention is the cheapest money you raise. Build a gratitude system that runs even when you are slammed.

Through the K-12 Schools lens

A school's first-time donor is often a new parent making their first gift beyond tuition, at the annual fund appeal or the auction, and the welcome sequence's proof touch works especially well since a school can show concretely what that gift funded, financial aid for a specific number of families, new classroom materials. The 48-hour system's Tier 3 personal call fits naturally into a school's existing parent-to-parent culture; a room parent or board member making the call often already knows the family from pickup line or a class party. Because a school's donor base turns over as children graduate, a family that never makes a second gift after year one is a family the school likely never reaches again before its children leave.

Learning objectives

  • State the retention arithmetic that makes the thank-you the highest-return work in a shop: first-time donor retention near one in five, the second gift as the hinge, and why a 70% retention rate compounds where 40% only repeats.
  • Build a four-tier thank-you system with pre-written templates, a named owner and a named backup, and a two-business-day standard that holds in December.
  • Write a receipt letter that puts gratitude and the gift's concrete use above the required substantiation language, and adapt it for tribute, sustainer, lapsed, and year-end gifts without adding an ask.
  • Run a five-touch, 90-day welcome sequence for first-time donors that proves what the gift did before inviting a second gift near the first amount, with a monthly option offered.
