Thank-Yous That Keep Donors

Retention is the cheapest money you raise. Build a gratitude system that runs even when you are slammed.

Through the Faith-Based lens

The retention math in this lesson applies with a twist in a parish: a first-time visitor's gift, dropped in the collection plate, often has no name attached at all unless they use an envelope or online giving, so the 48-hour system's tiering has to start with capturing who gave before it can thank anyone. Once a name exists, the welcome sequence's proof touch, showing what a gift did, fits naturally into a bulletin already built around telling the congregation what the offertory funds, a mission trip, a school scholarship, a repair. The letter library's warning against a receipt that reads like an invoice matters especially here, since a gift given as an act of faith deserves a response that sounds like gratitude, not accounting.

Learning objectives

  • State the retention arithmetic that makes the thank-you the highest-return work in a shop: first-time donor retention near one in five, the second gift as the hinge, and why a 70% retention rate compounds where 40% only repeats.
  • Build a four-tier thank-you system with pre-written templates, a named owner and a named backup, and a two-business-day standard that holds in December.
  • Write a receipt letter that puts gratitude and the gift's concrete use above the required substantiation language, and adapt it for tribute, sustainer, lapsed, and year-end gifts without adding an ask.
  • Run a five-touch, 90-day welcome sequence for first-time donors that proves what the gift did before inviting a second gift near the first amount, with a monthly option offered.
