Thank-Yous That Keep Donors

Retention is the cheapest money you raise. Build a gratitude system that runs even when you are slammed.

Through the Environment lens

A first-time donor here often gave in response to a specific moment, a campaign, a threatened piece of land, a policy fight, which means the welcome sequence's proof touch has unusual power: showing the donor the concrete outcome of the moment that moved them converts rage-giving or urgency-giving into the durable relationship this module's retention math says is the real goal. The 48-hour system's tiers should probably weight advocacy engagement alongside gift size, since a first-time donor who also signed a petition is showing exactly the inclination worth a personal touch, not just a templated receipt. The letter library's warning against manufactured urgency matters here specifically, since this track's donors are unusually primed to respond to urgency already.

Learning objectives

  • State the retention arithmetic that makes the thank-you the highest-return work in a shop: first-time donor retention near one in five, the second gift as the hinge, and why a 70% retention rate compounds where 40% only repeats.
  • Build a four-tier thank-you system with pre-written templates, a named owner and a named backup, and a two-business-day standard that holds in December.
  • Write a receipt letter that puts gratitude and the gift's concrete use above the required substantiation language, and adapt it for tribute, sustainer, lapsed, and year-end gifts without adding an ask.
  • Run a five-touch, 90-day welcome sequence for first-time donors that proves what the gift did before inviting a second gift near the first amount, with a monthly option offered.
