Stewardship at Scale: A Gratitude System for the Whole File
Tiers for the whole file, impact reporting that reaches everyone, a recognition policy the board adopts, and the calendar that thanks every donor before the next ask. Gratitude as a system a director runs, not a habit a fundraiser keeps.
Through the K-12 Schools lens
A school's file is small enough that the donor nobody owns is a smaller group than at a university, but this module's warning still applies: parents giving modestly to the annual fund below any major-donor threshold often get a receipt and nothing else until the next appeal. The impact report fits naturally around the school year rather than the calendar year, reporting each spring or fall on what the year's giving funded, financial aid awarded, a program run, before the next annual fund campaign opens. The volunteer layer, room parents and board members making thank-you calls, is often already a natural extension of a school's existing parent-volunteer culture.

Learning objectives
- Extend the tiered thank-you standard from the Foundations stage into a stewardship system covering every donor on the file, with owners, budget, and measures.
- Design impact reporting that reaches every donor at least once a year, and a recognition policy that honors preference, privacy, and consistency.
- Build a stewardship calendar that guarantees every segment is thanked or reported to before it is asked again.
- Audit a year of stewardship to find who heard from the organization, who did not, and what it cost in retention.
