Thank-Yous That Keep Donors
Retention is the cheapest money you raise. Build a gratitude system that runs even when you are slammed.
Through the Human Services lens
This module names itself the free-tier module because the math matters most where budgets are tightest, and that is precisely a shelter or food bank's situation: a one-person shop cannot afford to lose four in five first-time donors to acquisition costs it can barely cover once, let alone twice. The 48-hour system's owner-and-backup rule is the hardest discipline to keep here, since the same person entering gifts, running programs, and writing grants is also supposed to be the thank-you system's named owner. The welcome sequence's proof touch is often the easiest win available to a small shop, since a single photo and a two-sentence story from this week's intake line costs nothing and does more for retention than any acquisition mailing could.

Learning objectives
- State the retention arithmetic that makes the thank-you the highest-return work in a shop: first-time donor retention near one in five, the second gift as the hinge, and why a 70% retention rate compounds where 40% only repeats.
- Build a four-tier thank-you system with pre-written templates, a named owner and a named backup, and a two-business-day standard that holds in December.
- Write a receipt letter that puts gratitude and the gift's concrete use above the required substantiation language, and adapt it for tribute, sustainer, lapsed, and year-end gifts without adding an ask.
- Run a five-touch, 90-day welcome sequence for first-time donors that proves what the gift did before inviting a second gift near the first amount, with a monthly option offered.
